How the analysis works

How are duplicates detected?

The module compares your bexio contacts using a scoring system. A pair is only considered a duplicate from 70 points – separating real matches from coincidences.

Company name (70 points) – an identical name is the strongest duplicate signal
Email address (40 points) – the same address is a reliable identifier
Phone number (40 points) – compared in normalised form, spaces and special characters are ignored
Last name + first name (25 + 15 points) – complementary criteria for person contacts

Company and person contacts are never compared with each other. At least 70 points must be reached for a pair to be considered a duplicate.

The module uses a scoring system: company name (70 points), email address (40), phone number (40), last name (25), first name (15). If a pair of contacts reaches 70 or more points, it is considered a duplicate. Phone numbers are normalised before comparison (special characters and spaces removed). Company and person contacts are never compared with each other.

The module checks nine document types in bexio: outgoing invoices, incoming invoices (payables), orders, quotes, projects, timesheets, tasks, notes and expenses. If a contact is linked to at least one of these documents, it is automatically excluded from bulk archiving.

Contacts created in bexio as contact persons (sub-contacts) of a company are also automatically excluded from bulk archiving – regardless of whether they have linked data. If needed, they can be archived manually one by one.
